Refunds & Cancellation
How deposits, cancellations, and refunds work for Datafusiontools audit engagements.
Scope
This policy applies to professional engagements with Datafusiontools — including policy exception reporting, control walkthroughs, board exception packs, and remediation follow-up reviews. This site does not sell physical goods or software licences.
Refund eligibility
Refunds are assessed against the signed engagement letter and the work completed at the cancellation date. Informal website estimates are not invoices.
Timeframe to request
Cancellation or refund requests should be sent in writing to info@datafusiontools.digital within 14 days of the event giving rise to the request (for example, cancellation notice or disputed invoice), unless the engagement letter sets a different window.
Deposits
A deposit (typically 40%) reserves the fieldwork window. If you cancel more than 10 business days before the agreed start date, we refund the deposit minus an administrative fee of HK$2,000 or 10% of the deposit, whichever is lower. If you cancel within 10 business days of the start date, the deposit is generally non-refundable because calendar time has been held.
Work already started
Once fieldwork, extract review, or drafting has begun, fees for time and work performed are payable. Any unused portion of prepaid fees may be refunded on a proportional basis after deducting completed work, documented disbursements, and the administrative fee above where applicable.
Partial refunds
Partial refunds may apply when scope is reduced by mutual written agreement after kick-off. Already delivered sections of a register or pack remain chargeable.
Non-refundable items
- Completed deliverables accepted in writing or used in a board pack
- Third-party disbursements incurred with your prior approval (for example courier of original files)
- Rush surcharges once the rush window has been consumed
No-shows and delayed access
If scheduled on-site days are missed without two business days’ notice, or agreed extracts are not provided within the timetable so that fieldwork cannot proceed, we may charge the reserved days and re-quote a new window. Repeated delays may be treated as client cancellation under the deposit rules.
Rescheduling
One reschedule with at least five business days’ notice is usually accommodated without penalty, subject to our availability. Further reschedules may incur a calendar-hold fee stated in writing.
Refund method and timing
Approved refunds are returned by the same method used for payment where possible, within 21 business days after written approval. Bank processing times outside our control may add to receipt time.

Exceptions
Statutory cooling-off rights that apply under Hong Kong law (if any) are not limited by this policy. Engagement letters prevail if they expressly set different commercial terms for a specific project.
